Privacy Notice for Job Applicants
This privacy notice explains how we collect and process personal data of candidates applying for vacant positions, how we use and protect this data, and your rights in relation to it.
This notice applies to the personal data of candidates who submit applications for vacancies announced by a relevant BDO Group company.
The candidate is responsible for the content and scope of the information and personal data submitted during the recruitment process. Submission of personal data is considered as confirmation of the candidate’s consent to the processing of such data for the purpose it was provided.
1. Controller and Contact Information
The data controller is the BDO Group company that has announced the specific vacancy:

Hereinafter referred to collectively as BDO.
2. Data We Collect
The following categories of personal data may be processed during the recruitment process:

Basic identification data: name, surname, contact information, and—if relevant for the role or voluntarily provided—personal identification number, date of birth, photo.

Professional background: education and qualifications, work experience, professional certifications, language and IT skills, other competencies, behavioral data (e.g., references, assessment tasks during the recruitment process).

Other submitted information: any additional data submitted voluntarily by the candidate.
Candidates are encouraged not to submit special categories of personal data (e.g., health information, political opinions, or family details) or other data that is not necessary for the initial assessment of their suitability for the role.
3. How We Obtain Your Data
We may obtain your personal data from you directly in the following ways:

When you submit an application, cover letter, CV, or supporting documents.

When you contact or meet with BDO HR staff, including notes taken during interviews or calls.
We may also obtain your data from third parties such as:

Recruitment service providers (e.g., SIA CV-Online Latvia)

Referees or former employers
4. How and Why We Process Your Data
All personal data provided by candidates is collected and processed solely for recruitment purposes. This includes reviewing applications, sending rejection letters, conducting interviews and assessments, and establishing employment relationships. No automated decision-making is used.
The legal basis for processing is the candidate’s consent to participate in the recruitment process, compliance with legal obligations related to employment, and BDO’s legitimate interest in managing an efficient recruitment process.
5. Your Rights Regarding Your Personal Data
Candidates may choose whether to provide consent and can withdraw it at any time without affecting prior lawful processing. Under applicable data protection laws, candidates have the right to access their data, object to processing (including based on legitimate interest), request correction, deletion, restriction, or transfer of their data, and to lodge a complaint with a supervisory authority.
These rights are applicable to the extent they do not conflict with BDO’s legal obligations.
6. Data Sharing and Access
To ensure an efficient recruitment process, BDO group companies may authorize one another to perform recruitment-related tasks, as necessary for the relevant vacancy. Data is processed only by individuals involved in the recruitment process and only for that purpose.
BDO does not transfer your data outside the European Union or European Economic Area during the recruitment process.
7. Data Retention
Candidate data is stored for six months after the end of the recruitment process (e.g., after a rejection notification), unless BDO needs to retain the data to defend its legal interests. In such cases, data is deleted once the legal process ends. Candidates may request earlier deletion of their data.
If a candidate consents to the use of their data for future recruitment opportunities, it is retained for up to one year or until consent is withdrawn.
If hired, data collected during recruitment is retained as part of the employee’s personnel file for the applicable retention period.
Once data no longer has a legal basis for retention, it will be deleted or destroyed.
8. Data Security
We implement recognized technological and operational security standards to protect personal data from loss, misuse, alteration, or destruction. All employees and managers are required to maintain confidentiality. Access to data is granted only to the extent necessary to perform duties.

You may request a copy of this privacy notice using the contact information above. We may occasionally update or change this notice. The date of the most recent update will be indicated. Changes become effective upon publication. Please review this notice periodically for updates.
